Scheduled Reports

Scheduled Reports let you automate any report so it runs on a recurring basis and is delivered by email as an Excel file. Instead of generating reports manually, you set up a schedule once and receive the data in your inbox at the right time — daily, weekly, monthly, or as a one-time delivery.

Permissions

  • View schedules: Requires the Schedule Reports: View permission (or team owner)
  • Create / edit schedules: Requires the Schedule Reports: Create/Edit permission
  • Delete schedules: Requires the Schedule Reports: Delete permission (or team owner)

The Schedule this report control on individual report pages is disabled for users without create permission. On desktop it's a calendar-icon button with a tooltip; on mobile and tablet it's tucked inside a dropdown menu (to avoid accidentally navigating away from the report with a stray tap) — either way, it opens the same pre-filled creation form.

Creating a Schedule

Click New Schedule to open the creation form, or use the Schedule this report control on any report page to open the form pre-filled with the current report's vehicles, groups, and date range.

Fill in:

  1. Name: A descriptive label for this schedule (e.g. "Daily Fleet Summary")
  2. Report Type: Choose from Summary, Trips, Stops, Events, Positions, Driver Safety, Fuel, or Geofences
  3. Sub-type (Summary and Events only): Narrow to a specific summary type or event category
  4. Zone Type / Select Geozones (Geofences only): Narrow to Geofences, Stops, or specific geozones — same filters as the live Geofences Report
  5. Vehicles / Groups: Select the vehicles or vehicle groups to include — selecting a group also includes every vehicle in its sub-groups
  6. Recipients: Choose team members who will receive the email
  7. Date Range: The start and end date window the report covers each time it runs
  8. Recurrence: How often the report runs
  9. Send Time: The time of day the report is sent

Recurrence Options

For weekly schedules, choose the day of the week. For monthly schedules, choose the day of the month (1–31).

Report Types

Scheduled reports are available for:

  • Summary — fleet-wide or per-vehicle summary statistics (overall or daily breakdown), plus the vehicle's events for the same period
  • Trips — individual trip records
  • Stops — stop events with location and duration
  • Events — device events filtered by event type
  • Positions — raw GPS position log for a single vehicle
  • Driver Safety — eco-driving summary, violations, and driving periods by driver (see Driver Safety Report)
  • Fuel — fills & drains, summary, day-by-day detail, detection parameters, and vehicles without a calibrated sensor (see Fuel Report)
  • Geofences — zone entry/exit detail, per-geozone summaries, and activity outside any zone (see Geofences Report)

Managing Schedules

The schedules list shows all configured schedules with their status, next run time, vehicles, and recurrence.

Each schedule row has an actions menu (⋮) with:

  • Edit — modify any field of the schedule
  • History — view a log of the schedule's past runs
  • Activate / Deactivate — pause or resume a schedule without deleting it
  • Delete — permanently remove the schedule (requires delete permission)

Run History

Select History from a schedule's actions menu to see how many reports have been processed for it and the outcome of each run.

The modal shows:

  • Processed — the total number of times the schedule has run
  • Sent — how many of those runs actually emailed a report
  • A table listing every run, with its time, status, recipient count, and — if it failed — a short error message

Each run has one of three statuses:

SentThe report was generated and emailed to the recipients
Nothing to reportThe run completed, but there was no data for the selected period, so no email was sent
FailedThe run could not complete; it will be retried automatically

Active vs Inactive

A schedule marked Active will run at the next scheduled time. Set it to Inactive to pause delivery without losing the configuration. You can reactivate it at any time.

Email Delivery

When a schedule runs, each recipient receives an email with:

  • The report name and period in the subject line
  • A single Excel (.xlsx) file attachment, matching the report page's own Export button — one sheet per section: three sheets (Summary, Events, Route) for Summary; two sheets (report data, Route) for Trips, Stops, Events, and Positions; three sheets (Summary, Violations, Driving Periods) for Driver Safety; five sheets (Fills & Drains, Summary, Detailed, Parameters, Note) for Fuel; and three sheets (Detailed, Summary by Geozones, Summary Outside Geozones) for Geofences. Column headers are translated into your interface language.

No Data Found

If no matching data exists for the report period, the schedule still runs but the report will be empty. Check that the selected vehicles were active during the configured date range.
