Summary Report
The Summary Report gives you the key figures for each vehicle over a period: distance, engine hours (split into moving and idle time), average and top speed, odometer and fuel used. The same page also lists the events your vehicles reported and shows the route each one drove.
Running the Report
- Open Reports and pick Summary. The report name at the top of the page is also a switch: click it to jump to any other report. Your vehicles and period are kept when you switch.
- Vehicles: pick one or more vehicles. Search by name, plate or device, use the All / Selected / Online tabs, or Select all.
- Groups (optional): ticking a group adds every vehicle in it, subgroups included. Groups and single vehicles add up.
- Period: pick a preset (Today, Yesterday, This week…) or choose dates on the calendar, with a start and end time if you need one. A report covers up to 31 days at a time, and future dates can't be picked.
- Show: choose Totals (one row per vehicle for the whole period) or By day (each vehicle split into days).
- Click Show report.
Once the report is on screen, the filters fold into a short line (vehicles, period, totals or by day). Click Change to edit them.
Totals Cards
A strip of cards across the top adds up the numbers for every vehicle in the report:
- Distance — with the vehicle that drove the most
- Spent Fuel — and how many vehicles have fuel data
- Engine Hours — with the average per vehicle
- Moving Time and Idle Time — each as a share of engine hours
- Average Speed and Max Speed — with the vehicle that reached the top speed
There's one card for each number column you have switched on (see Columns below). Click the pin on a card to keep it at the front of the strip. Pinned cards are remembered.
Summary Tab
One row per vehicle, or in By day mode one group per vehicle with its days underneath:
- Vehicle (and Date in By day mode)
- Start Date
- Engine Hours — taken from the device's own engine-hours counter
- Moving Time — the part of engine hours the vehicle was moving
- Idle Time — the part of engine hours the engine ran while the vehicle stood still
- Distance
- Odometer Start / Odometer End (hidden by default)
- Average Speed and Max Speed — the highest max speed in the report is highlighted
- Start Engine Hours / End Engine Hours (hidden by default)
- Spent Fuel
Use Find vehicle to filter the rows. In By day mode, Expand all / Collapse all opens or closes every vehicle. A vehicle row adds up its days: hours, distance and fuel are summed, average speed is the mean, and max speed is the highest day.
Moving and Idle Time
Moving and idle time are calculated from the GPS positions the device recorded. On longer periods they appear a moment after the rest of the report: the line Calculating moving and idle time · 3 of 12 vehicles shows the progress, and the cells show "…" until each vehicle is done. If a vehicle can't be calculated, the note says so and offers Retry.
Moving Time adds up every interval between two consecutive positions in which the vehicle was moving. A position counts as moving if (checked in this order):
- The device's driving signal is active, or
- The device reports movement, or
- The GPS speed is at least 3 km/h
Idle Time is what's left of the engine hours:
Idle Time = Engine Hours − Moving Time
Because engine hours come from the device's own counter, idle time stays accurate even when the tracker reports less often to save power. Moving + Idle always equals Engine Hours.
Note: Idle time is the engine running while the vehicle stands still — waiting at a terminal, in traffic, or loading passengers. Time with the engine off is not included.
Events Tab
Every event the selected vehicles reported in the period — overspeed, geofence entries and exits, ignition, fuel drops and increases, alarms and more (the same data as the Events Report).
- The chips above the list show each event type with its count. Click one to show only that type. The Excel export follows the chosen type.
- Search events finds a vehicle, type, geofence or value.
- With more than one vehicle (or a group), events are grouped by vehicle.
- Click the pin on an event to show it on the map beside the list. Click another event to move the pin. Events without a pin have no position.
- Click Show address to look up the street address of an event.
Route Tab
The route one vehicle drove, on a map colored by speed (see the legend). With several vehicles, pick the one to show from the list beside the map; one vehicle's route is shown at a time.
- Long periods load day by day, and the map draws as days arrive (Loading route · day 5 of 31).
- A very long route stops at the first 300,000 positions; the map tells you when that happens.
- If part of the route can't be loaded, the map says Couldn't load the whole route and offers Retry.
- Click any point on the route to see the vehicle's status at that moment, then See details for everything the device reported.
- Press Play on the map to watch the route play back. From the playback bar, Open in Replay opens the Replay for the same vehicle and period.
Columns
Click Columns to choose which columns you see. Vehicle (and Date in By day mode) are always shown. Your choice is saved separately for desktop and phone. The Events tab has its own column choice.
On a Phone
The report works the same way, laid out for a small screen:
- The filters sit at the top. After you run the report they fold into one line; tap it to change them.
- Vehicles appear as cards. The columns you tick show on each card, and number columns get a total card at the top. Swipe the totals strip to see all of them.
- The ⋯ menu at the top holds Export to Excel, Print and Schedule this report.
Export and Print
- Export to Excel downloads one file with three sheets: Summary, Events (following the chosen event type) and Route (a picture of the selected vehicle's route map).
- Print opens a printable version of the Summary table.
Both wait until moving and idle time are calculated for every vehicle.
Scheduling
Click Schedule (on a phone, ⋯ → Schedule this report) to have this report emailed automatically. The button is available if you have permission to create schedules. A panel opens over the report, filled in with the vehicles, groups and Totals/By day choice on screen. Choose how often it repeats, the send time, start and end dates, and the team members to send it to, then click Create schedule. You stay on the report. All schedules opens the Schedules page.
Each scheduled run emails one Excel file with the same three sheets as the export. See Scheduled Reports for all the options.
Use Cases
- Mileage tracking: total distance per vehicle for maintenance planning
- Fuel analysis: compare fuel used across vehicles
- Speed monitoring: find vehicles with high top speeds
- Utilization: see which vehicles work the most engine hours
- Idle analysis: spot vehicles that idle too long and waste fuel
- Incident review: check the Events tab for what happened, then the Route tab for where
No Data Found
If the report comes back empty, it shows No data found with a Try the previous day button. Check that:
- At least one vehicle or group is selected
- The vehicles were active during the period
- The vehicles have a working GPS device
If vehicles are listed but none of them moved or ran the engine, the report shows No activity in this period above the results.
