Managing Fuel Logs

The Fuel Logs page lets you record and monitor fuel fill-ups for every vehicle in your fleet. Each entry captures the date, vehicle, odometer reading, fuel type, volume, and the person responsible — giving you a complete fuel consumption history per vehicle.

Viewing Fuel Logs

The Fuel Logs table displays:

  • Date: The date the fuel was added
  • Vehicle: Vehicle name with a secondary label (license plate, VIN, or device name) shown underneath in orange
  • Mileage: Odometer reading at the time of the fill-up (in km)
  • Fuel Type: Type of fuel used (Summer Diesel, Winter Diesel, or Gasoline AI-92)
  • Volume: Amount of fuel added, in liters
  • Fuel Card: Fuel card number used (last 4 digits)
  • Filled By: The team member who recorded the entry

Use the Columns button to show or hide table columns.

On mobile, the Mileage and Filled By columns are automatically hidden for better readability.

Filtering by Vehicle

The Vehicle column header is an interactive dropdown. Click it to filter the table and show only fuel logs for a specific vehicle. Each vehicle in the list shows its name and secondary label (e.g., license plate) underneath for easy identification.

Select All Vehicles to clear the filter and show all records.

The active vehicle filter is preserved when you search or navigate between pages.

Searching Fuel Logs

Use the search field to find records by fuel type, fuel card number, comments, or vehicle name. Results update as you type.

The search works together with the vehicle filter — you can search within the already-filtered results.

Adding a Fuel Log

  1. Click the Add Fuel Log button.
  2. Fill in the form:

Form Fields

  • Date (Required): Defaults to today. Select the date fuel was added.
  • Vehicle (Required): Select the vehicle that was fueled. Each option shows the vehicle name and its secondary label (e.g., license plate) for quick identification. If you navigated here from a specific vehicle's actions menu, the vehicle will already be pre-selected.
  • Odometer Reading (Required): The vehicle's odometer reading at the time of fill-up, in kilometers.
  • Fuel Type (Required): Select the type of fuel — Summer Diesel, Winter Diesel, or Gasoline AI-92.
  • Volume (Required): The amount of fuel added, in liters.
  • Fuel Card Number (Optional): The last 4 digits of the fuel card used.
  • Old Seal Number (Optional): Seal number before the fill-up, if applicable.
  • New Seal Number (Optional): Seal number after the fill-up, if applicable.
  • Comments (Optional): Any additional notes about this fill-up.
  1. Click Create Fuel Log.

Editing a Fuel Log

  1. Find the record in the table.
  2. Click the actions menu (three dots) in that row.
  3. Select Edit.
  4. Update the fields as needed.
  5. Click Update Fuel Log.

Deleting a Fuel Log

  1. Find the record in the table.
  2. Click the actions menu (three dots) in that row.
  3. Select Delete.
  4. Confirm the deletion.

Exporting Fuel Logs

Use the export controls above the table to download or print your data:

  • Export to Excel: Downloads all fuel log records matching the current search and vehicle filter as a spreadsheet.
  • Print: Opens a print-ready view of the data.

Exports always include all matching records — not just the current page.

You can open the Fuel Logs page pre-filtered for a specific vehicle directly from the Vehicles table:

  1. Go to the Vehicles page.
  2. Click the actions menu (three dots) on any vehicle row.
  3. Select Fuel Log.

This takes you to the Fuel Logs page with that vehicle already selected in the column filter, and the add modal will also pre-select that vehicle when you click Add Fuel Log.

Pagination

The table shows 10 records per page. Use the pagination controls at the bottom to navigate:

  • First and Last page buttons
  • Previous and Next page buttons
  • Current page indicator showing "Showing X to Y of Z"

Permissions

Access to fuel log features is controlled by permissions:

  • View: Requires fuel-log:read permission (or team owner)
  • Create: Requires fuel-log:create permission (or team owner)
  • Edit: Requires fuel-log:update permission (or team owner)
  • Delete: Requires fuel-log:delete permission (or team owner)

If these options are not visible, contact your administrator to request access.
