Attendance Overview

The Attendance page shows daily passenger attendance statistics across all your routes. Use this to monitor boarding rates, identify absent passengers, and track attendance trends.

Selecting a Date

Use the date picker at the top of the page to select which day's attendance you want to view. You can view today's attendance or look at historical data.

Overall Statistics

The summary section shows attendance for the selected date:

  • Total: Total number of passengers across all routes
  • Boarded: Passengers who boarded their vehicle
  • Expected: Passengers who were scheduled to board
  • Absent: Passengers who didn't board (Expected - Boarded)
  • Late: Passengers who boarded after the scheduled time

Attendance Rate

A progress bar shows the overall attendance rate as a percentage:

  • Green: High attendance (good)
  • Yellow: Moderate attendance (needs attention)
  • Red: Low attendance (requires investigation)

The rate is calculated as: (Boarded / Expected) x 100

Route Attendance Table

The table breaks down attendance by route:

  • Route: Route name
  • Vehicle: Vehicle assigned to the route
  • Total: Number of passengers on this route
  • Boarded: Passengers who boarded
  • Expected: Passengers expected to board
  • Absent: Passengers who didn't board
  • Rate: Attendance percentage for this route
  • Details: Click to see the detailed attendance report for this route

Viewing Route Details

Click View Details on any route to see:

  • Individual passenger names
  • Whether each passenger boarded or was absent
  • Boarding times
  • Stop information

Automatic Refresh

The attendance data refreshes automatically every 30 seconds, so you always see current information without manually reloading the page.

Generating Attendance Reports

Click the Report button in the top-right corner of the attendance overview page to access the attendance report generator.

Selecting Vehicles

Choose one or more vehicles to include in your report:

  • Select multiple vehicles to compare attendance across different routes
  • Free plan users can only select their assigned vehicle

Selecting Date Range

Use the period selector to choose your reporting timeframe:

  • Today: Current day's attendance
  • Yesterday: Previous day's attendance
  • This Week: Monday through Sunday of the current week
  • This Month: 1st through last day of the current month
  • Previous Month: Full previous month
  • Custom: Select specific start and end dates/times

Viewing Report Data

After selecting vehicles and dates, click Show to generate the report. The table displays:

  • Date: Date of attendance record
  • Vehicle: Vehicle name
  • Route: Route name
  • Passenger: Passenger name
  • Status: Attendance status (Boarded, Expected, Absent, Late)
  • Boarded At: Time passenger boarded the vehicle
  • Alighted At: Time passenger exited the vehicle
  • Stop: Stop location

Exporting Reports

Once the report is generated, you can:

  • Export to Excel: Download as an .xlsx spreadsheet for further analysis
  • Print: Print the report for physical records or sharing

The exported file includes all columns with formatted data and follows the naming convention: attendance-report-[date-range].xlsx

Using Attendance Reports

  • Daily Monitoring: Check attendance at the start of each day
  • Identify Patterns: Look for routes or days with consistently low attendance
  • Follow Up: Contact guardians of absent passengers when needed
  • Improve Service: Use data to optimize routes and schedules
  • Generate Reports: Create detailed attendance reports for specific vehicles and date ranges
  • Record Keeping: Export reports for compliance and documentation purposes
