Subscription & Billing

NexaBus offers flexible subscription plans to fit your fleet size. Choose the plan that matches your needs and scale as your fleet grows.

Available Plans

Free Plan

Price: Free forever

  • 1 vehicle maximum
  • 1 team
  • 30 days data retention
  • Basic tracking features

Best for: Testing NexaBus or very small operations.

Starter Plan

Price: $2 per vehicle/month

  • Unlimited vehicles
  • Up to 3 teams
  • 6 months data retention
  • Advanced tracking features
  • Email notifications
  • Team member invitations

Best for: Small to medium fleets that need core tracking features.

Professional Plan

Price: $4 per vehicle/month (Most Popular)

  • Unlimited vehicles
  • Unlimited teams
  • 12 months data retention
  • All tracking features
  • Attendance tracking
  • Camera integration
  • Team member invitations

Best for: Larger fleets that need attendance monitoring and camera support.

How Pricing Works

Paid plans are billed per vehicle per month:

  • Monthly Cost = Plan Price × Number of Vehicles
  • Minimum charge: 1 vehicle (even if you haven't added vehicles yet)

Examples:

  • Starter with 5 vehicles: $2 × 5 = $10/month
  • Professional with 10 vehicles: $4 × 10 = $40/month

Subscribing to a Plan

  1. Go to SubscriptionPricing in the sidebar
  2. Review the available plans and their features
  3. Click Subscribe on your chosen plan
  4. You'll be redirected to PayPal to complete payment
  5. After payment, your subscription is immediately active

Note: Payments are processed securely through PayPal. You can pay with your PayPal account or as a guest using a credit/debit card.

Managing Your Subscription

Go to SubscriptionManage to:

  • View your current plan and status
  • See your next billing date
  • Check your vehicle count
  • Access payment history
  • Make changes to your subscription

Subscription Status

Your subscription can have these statuses:

  • Active: Subscription is current and paid
  • Pending Renewal: Awaiting payment for the next period
  • Cancelled: Will remain active until the current period ends
  • Expired: Subscription has ended, downgraded to Free plan

Renewing Your Subscription

Subscriptions renew monthly. Here's how the renewal process works:

  1. 3 days before expiration: You receive a renewal reminder email
  2. On expiration date: A new PayPal payment is created
  3. Pending payment: Complete the payment through PayPal
  4. After payment: Subscription renews for another month

If you see a "Pending Payment" alert on the Manage page, click the link to complete your payment through PayPal.

What Happens If Payment Fails?

  • Your subscription status changes to Pending Renewal
  • You have a 7-day grace period to complete payment
  • After 7 days, you're automatically downgraded to the Free plan
  • You can resubscribe anytime to restore your plan

Changing Your Plan

You can switch between Starter and Professional plans:

  1. Go to SubscriptionManage
  2. Click Change Plan
  3. Select your new plan
  4. The change takes effect on your next billing date

Upgrading: You get access to additional features (like Attendance and Cameras) immediately.

Downgrading: You keep current features until the billing period ends.

Cancelling Your Subscription

If you need to cancel:

  1. Go to SubscriptionManage
  2. Click Cancel Subscription
  3. Confirm the cancellation

What happens when you cancel:

  • Your subscription remains active until the current billing period ends
  • You keep all premium features until that date
  • You won't be charged for the next period
  • You can resume anytime before the end date

Resuming a Cancelled Subscription

Changed your mind? You can resume before your subscription ends:

  1. Go to SubscriptionManage
  2. Click Resume Subscription
  3. Your subscription continues as normal

Payment History

View all your past payments on the Manage page:

  • Date: When the payment was made
  • Plan: Which plan you paid for
  • Amount: How much was charged
  • Status: Completed, Pending, or Failed
  • Transaction ID: PayPal reference number
  • Billing Period: The dates covered by this payment

This information is also sent to your email after each successful payment.

Payment Methods

All payments are processed through PayPal:

  • PayPal Account: Log in and pay from your balance or linked cards
  • Guest Checkout: Pay with credit/debit card without a PayPal account

Supported cards include Visa, Mastercard, American Express, and Discover.

After Subscription Expires

When your subscription expires or you cancel:

  1. You're downgraded to the Free plan
  2. You have a 7-day grace period
  3. During grace period, your data is preserved
  4. After grace period, historical position data is cleaned up
  5. You can resubscribe anytime to get a paid plan again

Important: Resubscribing restores your plan immediately, but historical data removed during cleanup cannot be recovered.

Frequently Asked Questions

Can I try before I subscribe?

Yes! The Free plan lets you use NexaBus with 1 vehicle at no cost. You can upgrade anytime.

How do I add more vehicles?

Add vehicles through the Vehicles page. Your monthly cost adjusts automatically based on your vehicle count at renewal time.

Will I lose my data if I downgrade?

You have a 7-day grace period after downgrading. During this time, your data is preserved. After the grace period, position history beyond your new plan's retention limit is removed.

Can I get a refund?

Contact support to discuss refund requests. Refunds are handled on a case-by-case basis.

Do you offer annual billing?

Currently, NexaBus bills monthly. Contact sales for custom billing arrangements for larger fleets.

What if I have billing issues?

Check your payment history for failed payments. If you need help, contact support with your transaction ID.
