NexaBus on Mobile

Quick Start Guide

Welcome to NexaBus! This guide walks you through the essential steps to get your system up and running. By following these steps, you'll configure your fleet, set up your routes, and start tracking vehicles.

Step 1: Initial Setup

After logging in, configure the foundational elements of your system.

Create a Client

Clients represent organizations whose vehicles you manage (e.g., schools, companies).

  1. Go to Clients in the sidebar.
  2. Click Add Client.
  3. Enter the client name and optionally upload a logo.
  4. Copy the generated Client Code - passengers will use this to connect via the mobile app.

Set Up Your Team

Teams organize users and control what they can access.

  1. Go to Teams in the sidebar.
  2. Create a new team or use your default team.
  3. Invite team members by email.
  4. Configure role permissions to control access to features.

Step 2: Add Hardware

Connect your GPS tracking devices and other hardware.

Add Devices

Devices are GPS trackers installed in your vehicles.

  1. Go to Devices in the sidebar.
  2. Click Add Device.
  3. Enter:
    • Name: A friendly name for the device
    • Identifier: The unique ID from your GPS tracker
    • Phone: The SIM card phone number in the device
  4. Optionally add Model, Category, and Expiration date.
  5. Check that Sync Status shows "Synced". Click retry if it shows "Failed".

Create Groups (Optional)

Groups help organize devices by category, location, or purpose.

  1. Go to Groups in the sidebar.
  2. Click Add Group.
  3. Enter a name and optionally select a parent group.
  4. Assign devices to groups when adding or editing devices.

Add Cameras (Optional)

If you have in-vehicle cameras:

  1. Go to Cameras in the sidebar.
  2. Click Add Camera.
  3. Enter the camera name, device ID, and connection details.

Add Sensors (Optional)

Sensors track fuel levels, temperature, or driver behavior scores.

  1. Go to Sensors in the sidebar.
  2. Click Add Sensor.
  3. Select the device and configure the sensor attribute (fuel, temperature, score).

Step 3: Set Up Transportation

Define your drivers, vehicles, stops, routes, and shifts.

Add Drivers

  1. Go to Drivers in the sidebar.
  2. Click Add Driver.
  3. Enter the driver's name, identifier, and email.
  4. Optionally upload a photo and license image.
  5. Verify the sync status shows "Synced".

Add Vehicles

  1. Go to Vehicles in the sidebar.
  2. Click Add Vehicle.
  3. In the General tab:
    • Enter the vehicle name
    • Assign a device, camera, and driver
  4. In the Details tab:
    • Add license plate, VIN, vehicle type, capacity, make, model, and year
  5. Verify the sync status shows "Synced".

Create Stops

Stops are pickup/drop-off locations along your routes.

  1. Go to Stops in the sidebar.
  2. Click Add Stop.
  3. Enter a name for the stop.
  4. Set the Radius in meters (defines the geofence for arrival detection).
  5. Click on the map to set the location, or enter coordinates manually.

Create Shifts

Shifts define operating schedules.

  1. Go to Shifts in the sidebar.
  2. Click Add Shift.
  3. Enter a name and set status to Enabled.
  4. Set the start time and end time.
  5. Select the days of the week it operates.

Create Routes

Routes connect stops in sequence for a vehicle to follow.

  1. Go to Routes in the sidebar.
  2. Click Add Route.
  3. In General Information:
    • Enter a route name
    • Select the client, shift, and vehicle
  4. In Managing Stops:
    • Drag stops from "Available Stops" to "Selected Stops"
    • Arrange them in the order vehicles should visit them
  5. In Route Summary:
    • Review the route on the map
    • Print if needed
  6. Verify the sync status shows "Synced".

Step 4: Add Passengers

If you're tracking passenger transportation, add passenger records.

  1. Go to Passengers in the sidebar.
  2. Click Add Passenger.
  3. In the General tab:
    • Enter name and email (required)
    • Optionally add phone and photo
  4. In the Stops tab:
    • Select a client
    • Click Add Stop to assign route-stop combinations
    • Add multiple stops if the passenger uses different routes
  5. In the Notifications tab:
    • Enable email notifications for stop arrivals if desired

Step 5: Start Tracking

With everything configured, you can now monitor your fleet.

Live Tracking

Go to Tracking in the Reports section to see all your vehicles on a live map. Click any vehicle to view details like speed, last update time, and location.

Monitor Attendance

Go to Attendance to see daily passenger boarding statistics across all routes. View attendance rates and identify absent passengers.

Generate Reports

Explore the Reports section for detailed analysis:

  • Summary: Overall fleet metrics (distance, speed, fuel, engine hours)
  • Trips: Individual trip details with start/end times and addresses
  • Stops: Where and how long vehicles stopped
  • Events: Alerts for speeding, geofence entries, and other events
  • Replay: Play back vehicle movement on a map
  • Chart: Visualize data trends over time
